Team O'clock standup meeting is designed to promote a fast paced and to-the-point communication between team members. Interface and actions are supplementing this mentality and try to stay out of the way of the standup talk.
1. Starting a standup
There are two possible ways to notify team members for a daily standup:
- Administration pages clicking the "Start a meeting" button at the top and select "Standup". This will open a form to select your standup team.
Click the "Next" button to preview the basic options for the standup and "Finish" to start the meeting, all team members will be notified via email to join the standup.
- Through integrations:
- Using Slack integration, you can initiate a standup from Slack typing "/standup ", team members will be notified directly on Slack to join the standup
- Using Microsoft Teams, you can initiate a standup in your team channel using the '@Team O'clock standup' command, members are personally notified by Team O'clock bot and can join the standup.
Every team standup has a permanent URL which you can share with your colleagues and re-use on a day to day basis.
2. Starting the standup
In the standup page you have two options:
- If your team is in the same room, you can start the standup right away by pressing the Start button.
- If your team has remotees, you can wait for them to join the standup session.
In order to coordinate with your remote team members you can use the Chat feature to exchange quick messages, located on the bottom right of the standup window.
To use a video conference with your remotees you can setup a Video Call Link from the options dropdown on the left of the main button.
This input is available to all your team members and anyone can setup the Video Call URL. You can type and use any video service you are already using.
To access the setup Video Call URL use the link displayed in the middle on the bottom of the page.
After everyone is online and the video conference has been setup, a team member can press the Start button.
3. During the standup
After the standup has started, Team O'clock assistant picks randomly members of the team to speak (round-robin). A countdown timer for the standup is displayed on the top center. By default standup can last at most 15 minutes, but you can change this setting in your organization settings page.
On the main area of the page you can see the current speaker on the left along with how much time is left for the speaker and some tips to keep the focus on standup goals.
When the speaker completes his briefing clicks the "Next" button and the next speaker is selected.
On the left of "Next" button there is a "Skip" option in case the speaker is not yet available or is missing. Members that are skipped will be re-selected later.
Each member is assigned an equal portion of the standup duration time (default 15 minutes), which counts as the default time window.
A speaker can continue talking after the allocated time, while the interface is simply stating a "Wrap up" direction message under the speaker.
This means that Team O'clock suggests but not forces a maximum speaker time. This is up to the scrum team to follow.
The standup time is set by default to 15 minutes but again this is just a Team O'clock suggestion following the scrum rules. If the team speaks more than the allocated standup time the timer turns red.

4. Taking notes
During the standup the team can take notes. Notes are shared/synced across all team members and will be emailed to the team when the standup completes and all standup windows have been closed.
To take notes click on the "+ Add a note" link and start typing. Pressing "Enter" will add your note.
5. Standup completion
When the last speaker is done the standup ends automatically. Any video connection opened within team O'clock standup will remain open further discussions until the members choose to close it.
6. Restarting the standup
In the case that you want to restart the standup, there is a "Restart standup" option available on the options dropdown next to the main action. Clicking this button you reset the daily standup and can start all over again.
When restarting a standup, any time spent by members that have already spoken will be reset.
