Agile maps offer a way to organise your teams and company agility transformation.

Agile maps: Company viewIf you have a Team O'clock account you also have access to agile maps of three types:

  • A company agile map, where you can see all company teams you have added in Team O'clock and how they are related to each other.
  • Multiple team agile maps, where you can see how each team is implementing agile processes and tasks for their specific use case.
  • A private personal agile map, for each individual member of Team O'clock for organizing private and personal tasks and processes.

Each agile map has some common controls for navigation that are located on the top left corner of the screen as well as a minimap on the bottom left corner of the screen.

Navigation controls

Agile map navigation controls

Using these controls you can:

  • Zoom in and out of areas of the map. You can also use the keyboard shortcuts "+" and "-" to zoom in or out respectively.
  • Reset to default zoom, using the keyboard shortcut "0".
  • Quickly jump to the centre of the map, using the keyboard shortcut "c"
  • Pan around the map using the arrow keys, or simply clicking and dragging with your mouse over the map. You can also use your trackpad to pan around the map.

Minimap


The minimap is displaying all items as dark boxes and the visible area as a light colored box. You can use the minimap to navigate to a specific area, by clicking over that area with your mouse or dragging the visible area box.


Search for items

In case you are looking for a specific item or team and you want to locate it on the map you can use the search functionality.

Search is accessible either by pressing the 'Enter' in the keyboard or by clicking the search button, located on the centre right below the Agile maps header.


Once the search input is open you can start typing and the map will automatically scroll and highlight the search results, as shown on the image below.


If the highlighted item is not the one you were looking for you can hit 'TAB' and search will scroll and highlight the next item matching your search criteria.

Company agile map

In your company agile map you see an overview of your team and their relations.
Using this map you can organise your teams on the map, define their relations and navigate to a specific team's agile map. When you move your mouse over a team some controls will be visible:

  • Move, on the top right corner of the team. Clicking and dragging this control you can move the team on the map.


  • Cross-team dependencies, on the top left corner of the team. Clicking this option you will see the list of all dependencies this team shares with other teams. Teams with dependencies are marked with a check.
  • Processes & tasks adoption, on the bottom right corner of a team. Clicking this option you will see bird's eye view information about the agile processes and tasks that this team follows on the framework the team has selected (read more about agile frameworks).


Clicking on a team you will be transferred to that team's agile map.


Team agile map

On this map a team is organizing the tasks and processes that they apply on their daily work. Following and adopting these tasks as the team evolves.


The header of the team agile map has a breadcrumb on the left along with information about visibility of the specific map. On the right side of the header you can find a button to setup a new meeting in Team O'clock and a menu with more options on the team agile map.


Map layout and framework

Each team map is organised in four quadrants that have a title and a color, reflecting an agile framework that the team is using.



You can change the used framework by clicking the menu on the top right and selecting "Map settings"


Available options include:

  • Default framework that Team O'clock supports with quadrant for PLAN, CREATE, IMPROVE and MEASURE. The default framework is staying true to agile values of continuous improvement highlighting the importance of measuring the outcome of team's actions.
    In detail the four quadrants of the framework are:
    • PLAN, where you can add widgets and actions related to planning and setting up the communication of your team
    • CREATE that you can use for work that the team is currently acting upon
    • IMPROVE to highlight and share tasks your team wants to improve
    • MEASURE for actions and tasks that your team wants to check-in on "how are we doing?"
  • Heart of Agile framework with quadrant for COLLABORATE, DELIVER, REFLECT and IMPROVE. Read more on Heart of Agile.
  • Modern Agile framework with quadrant for MAKE PEOPLE AWESOME, DELIVER VALUE CONTINUOUSLY, MAKE SAFETY A PREREQUISITE and EXPERIMENT & LEARN RAPIDLY. Read more on Modern Agile.
  • Deming wheel with quadrant for PLAN, DO, CHECK and ACT. Read more on Deming wheel.
  • Zen mode, for a map without the four quadrants to ideate and brainstorm more freely.
  • Custom framework, where you can define name and color for each quadrant.




Selecting a framework will update team agile map quadrants without affecting any other content that is on the team agile map.


Map widgets

A set of versatile widgets are available, to map team processes and tasks that members follow. All widgets can be added multiple times in a map and you can customise their title, size and positioning in the map.

To see all available widgets click on the big "+" button on the bottom right corner of the map. Then you can either drag your widget of choice into the map or click it.


To rename a widget, hover on that widget and click the "Edit" option available on the top right corner of the widget. On the modal that opens edit the "Title".

To resize a widget, hover on that widget and click-drag the bottom right corner of that widget.


You can link widgets in a map to denote a logical workflow, direction of data or connection between widgets. To do that, hover on the widget title and click the link icon that appears on the top right corner of the widget next to the "Edit" option.
A menu will open showcasing all widgets that are added in the map. Clicking on one of the widgets a link is added. An arrow is added to denote direction of the workflow. All available options are:

  • ,from current widget to target widget.
  • , bi-directional connection between current and target widget
  • , from target widget to the current widget.

You can change the direction of the arrow by clicking over an established connection between widgets.



Here is a brief description on the available widgets:

  • Retrospective sentiment analysis widget that is performing a sentiment analysis based on notes added in team retrospective meetings performed using Team O'clock. This widget will display the sentiment analysis of the ten most recent retrospective meeting of the team.


  • Retrospective action items widget, displaying all the action items the team has created on Team O'clock retrospective meetings. Action items are displayed in two lists, one for the open action items and another one for the closed action items. Team members can close or open an action item by clicking on the respecting option that is visible when hovering an action item.
    Team members also have the ability to edit and remove action items by clicking on the pencil icon displayed when hovering an action item. Finally, team members can add a new action item by clicking on the add button displayed in the widget.


  • Daily standup notes widget, displaying any notes the team has added after performing a Team O'clock standup meeting.


  • Planning poker estimations widget, displaying estimates on tasks the team has performed Team O'clock planning poker within the last week.


  • Active meetings widget, listing all Team O'clock meetings that are currently running so that any team member can join.


  • Custom List widget, that team members can populate with items of their choice. This is a pretty powerful widget that can have multiple uses.
    You can customise a list widget to be able to create a numbered list and to mark each list item as done. These options are available in the Custom list edit widget modal, where you can also setup a title for the list.

    To add an item in the list click the "+" button that is visible when you are hovering the widget. For each item you can set a description and a sub-text for better organization of items.

    You can edit an action item by clicking the pencil icon that is visible when you hover the list item. From the opening modal you can also delete the list item.
    You can re-order or move items between different list widgets by drag and drop.


  • Custom phrase widget, to share a specific message with the team. This widget is very useful for sharing sprint goals, aha moment, important dates for the team etc.


  • Embed widget, where you can add a script from a third party service or website. Any shared script will be displayed in the map.


  • Diagram widget, to help you create diagrams, charts and graphs using the Mermaid markdown language. This is a useful widget when you want to communicate a feature architecture, team plan or mind map to keep everyone in the team aligned.


  • Jira widget, where you can filter a list of tickets using a Jira Query. In order to use this query you need to have setup the Jira Cloud integration from your organization settings.


  • Helper widgets, so that you further organise your map. Helper widgets are a set of dividers with titles to group and move all other widget into. Helper widgets include: a Grid helper offering a cross grid with options to name each quadrant, Group helper with a box and title, Horizontal and Vertical titles with a divider.


Working with agile maps

An agile map has two modes:

  • View mode, where you can navigate freely over the map and check all the information displayed without the ability to edit items in widgets or add new widgets.
  • Edit mode, where you can edit the contents of an agile map. In this mode you can add or remove widgets, resize them and edit their contents.

To switch between these modes you need to click on a floating button located on the bottom left corner of the screen.


Focus mode
When you want to work on a specific widget and dedicate your focus on there, you can click the "Focus" option that is visible when you hover a widget's title.


Clicking this option, the selected widget will takeover the whole screen and you will automatically enter edit mode so that you can interact with the contents of the widget. To leave focus mode you can click the "Exit focus" button located on the top right corner of the header.



Sharing a team agile map

A team agile map can be accessed only by team members and Team O'clock administrators and managers. If you want to share your team agile map with other people or members of your company you can change it's sharing options.
These options are available from the header menu options.


The available sharing options are:

  • Team members, where only team members can access and edit the team agile map. This is the default sharing option.
  • Visible to all company, where team members can edit the team agile map but everyone in your company's Team O'clock account can view it.
  • Everyone in company can edit, where the team agile map is accessible and editable by all Team O'clock members in your company.
  • Public view, where everyone can view the map via a shared URL. When switching back to another option the shared URL is invalidated and the team is no longer available to non Team O'clock users.



When you are done with your selection you can click "Done" or copy the URL to share with the interested party.


Map time travel

Team O'clock is checking for daily changes of your agile map and stores all previous versions. With this functionality you can view your team's history and how your processes and tasks change over time.


To view and navigate historical versions of your agile map use the time travel navigation element on the top left of your agile map. You can navigate historical versions using keyboard Shift + ←(left arrow) or Shift + →(right arrow).



Historical versions contain a snapshot of the agile map on that time along. When viewing historical versions you cannot edit or update any of the displayed content.


Personal agile map

Your personal agile map is a place to organise your personal journey to agility and daily tasks.

The personal agile map shares almost all of the functionality that team agile maps offers except from sharing options, which do not apply in personal map. So personal agile map supports:


In your personal agile map you can also find a personal notes widget. Personal notes are a way to keep a personal record of thoughts and feelings you would like to share with your team during a meeting. These notes are private, you can share a note during a standup or retrospective meeting after reviewing and editing the note.
